In this world of direct messaging, social media, emojis, and shareable memes, talking on the phone has officially become a lost art. With that said, there will always be a time where a phone call is necessary. Here's how to put your best self forward and impress people on the phone!
You don't have to be talk show host to have a few talking points planned in advance. Just write down the topics that you'd like to cover so that you don't forget them.
Feeling anxious before a call is more common than you think. Calm yourself with a few minutes of deep breathing before the call.
Remember to sit or stand with an upright posture, this will help you deepen your breath and project your voice naturally. Avoid shouting or speaking too softly.
Keep a notepad or calendar in front of you during the call just in case.
Leaping directly into your reason for calling can be awkward, so start by asking the other person easy questions about themselves or their environment. This will help them relax and open up. Give him or her a compliment or make a flattering observation to show you care.
Don't let excitement or nerves overtake the conversation. Remember a phone call is a dialogue, not a monologue. To prevent dominating the conversation, ask the other person his or her opinion. If you feel the other person's attention wavering, address them by their name to pull them back in!
People can pick up the difference in tonal quality between people who smile over the phone and people who don't. Talk with a smile and upbeat tone to have a positive influence on the conversation.
Before you say goodbye, confirm any plans made during the conversation, or ask how you can follow up. Follow-up emails are also great for any information promised during the conversation.
If you struggle with goodbyes, practice a few one-liners to close the conversation, such as ‘I've really enjoyed our conversation, let's catch up again soon’, or ‘Thank you for your time, it's been a pleasure speaking to you’.
